Position Details:
- This position will be in-office
- Monday – Friday, 8:00 am – 5:00 pm
- $21-$28 per hour
Primary Function:
The Administrative Assistant II is responsible for providing administrative support to the Finance department, including Front Desk and Accounts Payable functions, as well as supporting Supply Chain operations through vendor communication, purchase order tracking, and delivery commitment management. The role contributes to efficient business operations by ensuring the timely processing of financial transactions, maintaining accurate system data, and proactively identifying issues that may impact schedules or business needs.
Essential Job Functions - Responsibilities:
Answer incoming calls, distribute mail, manage correspondence, and maintain office supply inventories.
Greet and direct visitors, vendors, and customers while providing a professional front desk experience.
Coordinate conference room scheduling and support client and meeting food orders as needed.
Process vendor invoices, employee expense reports, corporate credit card receipts, and other Accounts Payable transactions.
Maintain purchase order due dates, lead times, and related procurement data within NetSuite.
Communicate with vendors to validate delivery commitments and monitor open purchase orders.
Identify and escalate delivery delays, shortages, and other supply chain risks to appropriate stakeholders.
Assist with inventory reconciliations, receiving discrepancies, and item master data maintenance.
Consistently meet established deadlines while maintaining accuracy and attention to detail.
Utilize Microsoft Office, NetSuite, and other business systems to support Finance and Supply Chain operations.
Follow Business Technology policies to protect sensitive data and reduce information security occurrences.
Education and Experience: (Knowledge, Skills, & Abilities)
High School Diploma or equivalent required. Associates degree in Business, Management, or Supply Chain related field preferred.
Minimum of 2 Years of Experience of relevant work experience preferred
Strong written and verbal English language communication skills
Excellent teamwork/interpersonal skills and the ability to communicate effectively
Demonstrated ability to work collaboratively, both within and outside one's own work group
Demonstrate commitment and adherence to Sigma Design Core Values

Work Environment
Office: Standard office environment with normal office related conditions. Occasionally may be required to travel as required to other facilities, clients, or suppliers.
